This is a quick guide to the basic features of iLOQ 5 Series Manager. It will cover the basics of how to plan, deploy, and maintain a locking system in Manager.

If you need more information than what is in this quick guide, refer to the full user manual. It has everything explained in great detail and it is updated regularly. It is also available in German, French, Swedish, Danish, Norwegian, and Dutch. 

NOTE! This guide uses the Classic view of Manager. By default, Manager is in Dashboard view. You can change this by clicking "Go to classic view" in the bottom-right corner of the window (see picture below).

2.Planning a locking system>>

This is a small dictionary of the terms used in this guide and in Manager. Clicking a keyword opens the article on the keyword in the full user manual. 

• Person
  1. The term used to describe any keyholder and Manager user
• User
  1. A person that has access to iLOQ S5 Manager
• Locking system
  1. The entire system of estates, locks, access rights, keys, persons, and users that are all managed by users.
• Object
  1. The common name for individual keys, locks, persons, and access rights within a locking system.
• S5-key
  1. A physical, traditional looking key that can either be pushed into the lock cylinder to open the door physically or held against an iLOQ Online device to open the door through NFC.
• S50 Phone key
  1. An application for your phone that allows the opening of S50 locks through the phone’s NFC.
• S50 Key fob
  1. A fob that has the functionality of a phone key but does not require the phone app. Has a battery that requires a recharge approximately once every 5000 opens.
• Access right
  1. Groups that define both a key’s capability to open locks and which keys the lock accepts. When a key and a lock share an access right, the key opens the lock.
• Floor plan
  1. A visual map of an area of a locking system, where locks can be placed in the Manager for a better overview.
• Person role
  1. A profile that consists of several access rights. It can be used to give different people the same access rights based on the needs of their role. For example, a person role “cleaner” can be given to all the cleaners working within the locking system to easily share the access rights to all the places that need cleaning. 
• Estate
  1. A locking system containing several buildings that require dividing them into estates that are easier to manage.
• Zone
  1. The biggest locking systems require division into zones that consist of one or more estates. Zones can also be used to give some users large administrative rights in Manager within their respective zones.
• Time profile
  1. A lock ca be programmed with a time profile to allow access only certain times of week. Only works with locks that have a Real time clock chip (RTC)
• Calendar control
  1. A special feature of iLOQ Online equipped doors where the doors can be set to open or to require a pin at certain dates and times.

3.Downloading, setting up and accessing Manager>>

Planning is the master key to an efficient and working locking system! Good locking system design happens from top to bottom. This means starting from the big picture and moving down to the details. Here is an example of a rundown of what to do and in which order so that every step is as easy as possible.

1. Think about if and what kinds of zones and estates are necessary and create them if needed 
   • These are not necessary, especially in a small locking system, but they help in organizing a larger locking system
2. Upload floor plans that match those found in the premises of the locking system 
   • With the floor plans, it is easy to visualize the necessary access rights that give everyone just the rights they need. 
3. Plan and create access rights
   • Make sure the access rights give access to only where the people need it.
4. Create the locks and set them on the floor plans. 
5. Create persons and person roles if needed.
6. Create the keys
   • It is easy to create new persons and keys later

When you have created everything, it is easy to calculate the number of locks and keys needed. You can do this by selecting "Basic data" > "Browse locks/keys", grabbing a column, and dragging it on the empty space above the column titles. The grid view, then, shows the keys or the locks arranged by the column name, along with the amounts needed, as shown below:

4.Zones and estates>>

Requirements:

• A computer with Windows 7 or newer and .NET Framework 4.8 or newer
  • Manager cannot be installed on a Mac computer for a lack of .NET Framework.
• Yearly iLOQ S5/S50 license
• Programming key

Download Manager through this link

Setting up:

The first installation needs to be performed by an administrator of the PC. If you want to install Manager on other accounts on the PC, they need to be installed after the first installation as administrator. 

Install Manager with the installation file and open it. You will see a page like this

• Service address should automatically be the correct one, but check the material with your login info if there are problems with logging in.
• Service code is provided to you along with other login info.
• Customer name is the name you may choose for the locking system. 

Save these by pressing the saving icon connect your programming adapter to the computer, and put the programming key into the adapter. More about installing the programming equipment here.

Once Manager recognizes the programming key, you can use your user name and password to log in.

5.Managing zones and estates>>

Estates are parts of the locking system that share, for example, a common location. They make the locking system easier to manage when there are several buildings or hundreds of locks and/or keys to control. Keys, locks, access rights, floor plans and online modules work on an estate basis, so there can be similarly named objects in different estates even when they are in the same locking system. 

Zones are a level higher on the governance scale. They allow for easier management of locking systems comprising several buildings or even building complexes. An administrator can be assigned to a zone, giving them a lot of administrative rights within the zone, but cannot access to data outside the zone. Division into zones can be made based on geographical distance, per housing company or even per estate. Zones need to be created considering technical limitations such as the maximum blocklist size of a zone is 500 keys.

Both the estates and zones functionality need to be activated before use. From the management point of view, it is easier to activate and create them before anything else so that the objects can be added to the estates and zones as they are created. 

You can activate the Estate function by navigating "Administration" > "Edit locking system information" > "Settings" > check "Estate functionality active". Save the settings and add the rights to manage estates to the users you want. Then, restart the Manager and estates will be in use. 

Zones are found under "Administration" > "Edit locking system information" > "Settings" > "Zone settings" > set the "Zone functionality" to "In use, excluding persons and keys" if the zone administrators need to see the keys and locks of other zones and "In use, including persons and keys" if they do not.

6.Managing floor plans>>

You can add new zones by selecting "Additional data" > "Browse zones" > "Add zone" and following the zone wizard. The zone browsing view also allows you to control the persons assigned to a zone. Note that one person can belong to multiple zones i.e. moving a person to a different zone does not remove them from the other zone they are in.  

Add new estates by selecting "Administration" > "Edit estates", enabling editing mode, selecting the level of the new estate and right-clicking "Add".

You can move locks, keys and other objects between zones and estates from within their respective browsing windows. Select the objects, right-click, and select "Change zone/estate." 

If you want to remove a zone, make sure there are no objects attached to it. Otherwise, the removal will not be successful. Then, go to "Additional data" > "Browse zones", put "Editing mode" on, select the zones you want to remove, right click, and select "Remove".

7.Managing access rights>>

Floor plans are a handy way to visualize the lock system by showing the locks over the pictures of floor plans. Floor plans also show which areas a key or an access right grants access. Planning is key, so it is good to have the floor plans in Manager in the planning stage. 

The acceptable formats for the floor plans are the most common image formats and PDF. The maximum size for the floor plan image is 1 MB. Note that DWG files are not supported. The floor plan should include at least the doors and walls of the area. A good floor plan could be, for example, the map of the area or approximate drawings of the floor plans of the house. 

Add the floor plans to Manager by choosing "Basic data" > "Floor plans" > "Add floor plan."

When adding locks, open the Manager’s view so that you can see both the locks and the floor plans on it at the same time. You can do this by right-clicking the tab bar located above the floor plan browsing window and picking either "New Horizontal Tab Group" or "New Vertical Tab Group." This allows you to open the "Browse keys" view alongside floor plans. Drag the locks from the list on to the floor plans to make them appear. If you want to move locks that are placed on the floor plans, activate the moving more by clicking "> Move." 

You can remove a floor plan by clicking the "Floor Plan" button and choosing "Remove floor plan." Note that removing the floor plan also removes all lock bindings, so the locks need to be placed again even if you load the same floor plan into Manager again later.

8.Adding and ordering locks>>

Access rights define the relations between the locks and the keys in the locking system. When a lock and a key share at least one access right, the key can be used to open the lock. Well-defined access rights are the basis for a safe locking system, so define the access rights so that people can access places if and only if they need to. Creating access rights before any keys or locks makes it easier to add the access rights directly to keys and locks during their creation.  

The access rights can be found under "Additional info" > "Access rights." 

New access rights can be created by selecting "Add access right"
              - The first access right is often the Master key access right, covering all the locks

If you want to edit or access rights, click "Editing mode" button, make the changes necessary and save the edits by pressing the "Editing mode" button again. 

You can add or remove keys and locks is done by right-clicking the access right and selecting "add/remove keys" or "add/remove locks."

9 Managing persons and person roles>>

By default, locks are only logical locks, that is, they are just zeroes and ones in Manager. Logical locks are then programmed into the physical locks and installed at their intended locations. 

A logical lock is created in manager by selecting "Basic data" > "Browse locks" > "Add lock."

The prompts will guide you to fill in the lock’s placement, approach direction, locking target, lock cylinder model, zone (if enabled), lock type and whether the lock has a clock (RTC) installed, if it collects a trail of all the times it is used and, if it is a phone key, whether it needs to be verified over the Internet.

S50 keys still need additional information after creation. They are important regarding the installation of the lock. 

After creation, the lock’s estates, access rights and time profiles are to be defined. After the logical lock is complete, it can be left in the planning state or either ordered or ordered and programmed.

The locks are programmed for the first time using both the programming key and Manager together. Subsequent programming can be done with just the programming key or if it is an Online lock, it can be programmed over the air through Manager.

10. Adding and programming keys>>

Persons are found under "Basic data" > "Browse persons."

"Add person" allows you to add a new person by hand or add a mass of people from an Excel file. When adding a single person, click “Add base data of a person” or “add person and access rights/roles” and fill in the details of a new person. 

If you want to add several people from an Excel file, open the "Browse persons" view and the Excel file side by side and move the columns so that the Excel file and Manager match. Then, press "Editing mode." copy the whole row from the Excel file, click the star icon on the lowest row in Manager, and paste the information. Remember to exit the editing mode by clicking Editing mode again. Always remember to save the changes by clicking "Editing mode" again. 

You can edit a person’s information by switching to editing mode, clicking the cell on the table you want to change and just writing the new info in the cell. While In editing mode, you can also remove persons by right-clicking them and selecting "Remove."

Person roles are a bunch of access rights bound together that can be given to persons who occupy the same role. For example, you can create a "Cleaner" role for people who are cleaners and need to access spaces that need cleaning, so you do not have to manually add all the access rights to each cleaner. You can edit roles by right-clicking a person, selecting "Properties" > "Roles."
